Administrative Assistant / Receptionist

This position will be mainly responsible for ensuring administrative support to CBS Sofia Center in the listed and other areas: Meet & Greet, Mailing & Courier, Staff & Visitors Access, Meeting Facilities administration, Stationery & Supplies, Catering, Dining & Vending, Accommodation & Transportation, Printing & Binding, Documentation & Archiving, any other administrative tasks as required.

Principal Accountabilities

- Welcomes & accommodates guests and external & internal visitors;
- Handles and transfers the general phone calls of the office and initiates appropriate follow-up action;
- Assists in the on-boarding process of the new employees;
- Sorts, delivers and keeps tracking of outgoing & incoming mail and courier packages;
- Maintains database with various counterparty contact details
- Handle various types of documentation including such that might be of confidential business and personal nature;
- Manage logistics and travel arrangements.
- Administers meeting facilities booking requests;
- Monitors, requests and restocks vending supplies.
- Monitors, requests and restocks office supplies & consumables, and equipment inventory when needed;
- Handles any other general administrative tasks as required


Minimum Required Qualifications

- Secondary level education
- Minimum 2 years professional experience
- Working level of English (B2 or higher)
- Ability to handle confidential and sensitive information
- Computer proficiency – MS Office /Word, Excel, Outlook, Power Point
- Ability to work independently in fast paced environment
- Ability to work as a team player – collaborate and personally network and connect
- Strong attention to detail and follow-up; ability to multi-task; results-orientated
