Facility and Office Manager

For one of our clients, leading international company, who is opening BPO center in Sofia, we are looking for enthusiastic and experienced professional for the role of:



Manage a professional front desk reception service and organization and delivery of all incoming and outgoing mail and courier deliveries;
Working with external contractors to ensure that there are programmers put in place for cleaning, security and maintenance of the office;
Dealing directly with contractors and suppliers to ensure a full provision of office service and facilities services that where necessary follow PPM requirements;
Ensure the office is adequately stocked with office and kitchen supplies; create and manage relationships with appropriate vendors, while being on the lookout for best solutions;
Assist with organizing office and company-wide events and special projects;
Office management tasks including the processing of invoices, liaison with the central accounts team, management of petty cash and costs monitoring;
Manage and implement desk moves and office changes dependant on the business requirements;
Involvement in adhoc projects and duties that may be required from time to time;
Responsible for all aspects of health & safety, working with an appointed health & safety consultant in ensuring the office meets all regulatory aspects;
Conduct weekly H&S checks of the office, and record. Any issues to be reported, actioned and resolved in a timely manner;
Liaise with the building management team to ensure a good working relationship.


Similar role where you have been responsible for the operational running of an office and its facilities;
Excellent communication skills both written and oral in English and Bulgarian;
Experience working with Microsoft desktop packages including Word, Excel & Outlook;
Working Knowledge of AutoCAD and experience in space planning and preparation of floor plans;
Familiar with asset management and PPM;
Current certification in Health and safety, manual handling and first aid training advantageous;
Strong organizational skills;
An enthusiastic & friendly disposition, delivering top class customer service at all times;
Able to develop and maintain relationships with colleagues and suppliers of all levels;
Able to work under pressure & remain calm in high pressure situations;
Comfortable juggling different tasks and able to prioritize requirements as needed;
Practical, quick thinking and proactive, able to work without local supervision;
Combine enthusiasm levels with a can-do attitude;
Confident and experienced working with all levels of staff;
Prepared to work out of hours and at weekends as and when need.
