Currently Sutherland is looking for an Administrative & Facility Specialist (Temporary replacement) to carry out administrative and facility management tasks and support all the functions that will ensure the smooth operation of the office.

Ensure logistics around client visits are carried out in a highly professional manner, adhering to company’s corporate vision, mission and values
Serve as local POC for travel and accommodation arrangements
Assist and coordinate the organization of company meetings and events
Keep all relevant registers and ensure all company communication is documented and filed
Prepare expense reports on a monthly basis/upon request by management
Prepare and coordinate all activities related to invite letters issuing
Prepare and coordinate activities and documents related to customs clearance of goods and/or equipment shipped to/from Bulgaria
Create and maintain vendor database with contact details and quotes
Create, maintain and update/adjust inventory lists on regular basis
Assist and/or prepare and distribute RFQs to vendors for purchasing Non-tech materials; office equipment; advertising materials and other stationery
Process and dispatch all commercial invoices and protocols post service rending and/or material delivery to Finance for release of payment
Responsible for communication and coordination between all vendors related to facility management
Assist in preparation of marketing materials/ data
Assist in organizing all company’s marketing related activities
Keep a register of the required facility maintenance activities and upgrades
Coordinate with vendors on execution of the facility upgrades
Coordinate with vendors on invoices, coordinate with finance teams on payment approvals, delivery receipts, protocols of conformity etc.

Strong experience in office management and administration
Excellent written and spoken English
Expert level of knowledge with Microsoft Office Package
University degree in Business Administration, HR, or related
Ability to understand priority of work
Excellent communication and organization skills
Good understanding of facility maintenance
Excellent organizational and problem-solving skills
A self-starter who displays a high level of attention to detail
Civil and/or Technical background would be an asset
