Executive Assistant
The local arm of an international investment and asset management company is currently looking for a diligent, responsible, trustworthy, detail-oriented, friendly and motivated, person to assist our growing business in the role of Executive Assistant. This person would be responsible for assisting with executive’s day-to-day administrative needs and organizational duties and organizing and coordinating office operations.

Main responsibilities:

• Responsible for the effective coordination and follow-up of the activities and commitments of the executives by producing and managing a master calendar of key events, dates, and deadlines that are critical to the conduct of the company’s business.
• Maintains the management’s diary and reminding the executive of important tasks and deadlines. Booking travel arrangements.
• Composes and prepares correspondence that may be confidential in nature. Communicates with a high degree of discretion to directors, councils, management, staff, vendors, and other organizations as necessary and upon instruction. Takes detailed minutes of meetings and maintain contact lists.
• Maintains online and paper filing system for various projects and internal operations and ensures protection, security and effective transfer of files and records. Ensure all files are organized and accessible in accordance with Company Policy. Processes and names files to be entered into the database system. Reviews historical soft and hard copy documents. Assist with improving the Company Policy on filing systems and data management.
• Delivering, filing and obtaining documents to and from various Governmental institutions and contractors.
• Assists with reporting of petty cash, submitting and reconciling expense reports.
• Prioritizes conflicting demands; handles matters expeditiously, proactively and follows through on projects to successful completion.
• Performs other duties as necessary to support their manager, which will vary according to the project and to the manager’s remit.


• Excellent command of written and spoken English and Bulgarian.
• Excellent oral and written communication and human relation skills.
• Ability to maintain and protect the confidentiality of information.
• Effective verbal and listening communications skills, attention to detail and high level of accuracy, very effective organizational skills, effective written communications skills
• Willingness to work a flexible schedule to achieve the needs of the company.
• Must be detail oriented, results oriented, and be able to multi-task and work in a fast-paced environment.
• Must work well under pressure, set and meet deadlines, be able to manage several priorities in a day.
• Bachelor’s degree or equivalent work experience is required.
• Administrative support in legal industry or related industry will be a plus
• Proficiency in MS Office (MS Excel, MS Project in particular)
